This hypothetical but could it be that Gruden is already wrapped up and these meetings are about getting the assistants lined up?

I think this is very possible. Remember the info that we receive being leaked is usually 2-3 days old. I wonder if what AV said about yesterday being pivotal was a certain assistant that Gruden really needed on his staff, and everyone met in Tampa with that assistant to lock him down? If the assistant said yes, then Gruden signed the contract.
